Session Cancellation & Missed Appointments
The Heart of Our Agreement
Therapy is a shared commitment—a space we build together that relies on consistency, safety, and mutual respect. I also recognize that life is unpredictable. Trauma, anxiety, or sudden emergencies can sometimes make showing up difficult.
This policy is here not to penalize you, but to create a clear “container” for our work. Knowing exactly what happens when plans change helps reduce anxiety and keeps our relationship transparent.
When You Miss a Session (No-Show)
If you miss a session without prior notice, please know that you are not in trouble.
I understand that sometimes avoidance, overwhelm, or sudden life events, health related concerns can lead to a missed appointment.
My priority is always to ensure you are safe and to welcome you back when you are ready.
The “First-Time Grace” Policy
We are all human. To honor that, your first no-show is fully excused. There will be no charge, and we will simply look forward to rescheduling when you are able. I only ask that you send a brief message when you can, letting me know you are safe.
For Subsequent No-Shows
| Cancellation & Rescheduling Tiers | I try to remain as flexible as possible while respecting the time boundaries. |
|---|---|
| Notice Period (Before Scheduled Session) | Refund or Reschedule Eligibility |
| More than 24 hours | Full refund or full reschedule available |
| 24 to 12 hours | 75% refund or session transfer possible |
| 12 to 6 hours | 50% refund or transfer possible |
| Before 2 hours | 25% refund or transfer possible |
| No show without notice | No refund, full fee charged |
To maintain the sustainability of my practice and the structure of our therapy:
- This ensures that the time reserved exclusively for you is honored, even if you cannot make it.
- Sessions missed without notice (after the first exception) are charged the full session fee.
What Counts as a “No-Show”?
A session is considered a no-show if:
- You do not attend the scheduled video/in-person slot.
- We haven’t received communication from you at least 2 hours before the start time.
(If you are running late, please just drop a quick text. I will hold the space for you for 15 minutes before marking it as a missed session.)
What Happens After a No-Show?
- The session will be marked as a no-show in my records.
- The full session fee applies, and the session is not refundable or transferable.
- You’re welcome to book a new session through my [DaySchedule link] or by contacting my session manager via WhatsApp (contact available on the [Contact Page]).
How to Reconnect
Shame is often the biggest barrier to coming back after a missed session. Please don’t let it stop you.
- Booking: You can book your next slot via [DaySchedule Link] or message my session manager via WhatsApp.
- No explanation needed: You don’t need to apologize profusely or explain every detail if you don’t want to.
- Just reach out: A simple message like “I missed our session, I’d like to book another” is perfectly enough.
Cancellation Policy (Quick Recap)
- Cancel or reschedule at least 24 hours in advance to avoid charges.
- Less than 2 hours’ notice or no-shows are non-refundable and fully billable.
- Repeated no-shows or late cancellations may lead to a review of our ongoing engagement.
- Exceptions may be made in cases of significant distress or emergencies—please reach out if that’s the case.
Why This Policy Exists
In trauma-informed therapy, boundaries are actually a tool for safety. They provide predictability. When you know exactly what the rules are, you don’t have to worry about “what my therapist is thinking” or if “I’ve ruined the relationship.” The relationship remains intact, the boundary does the work, and we simply move forward together.
Thank you for your understanding.
Warmly,
